How to Handle a Membership Freeze Request Fairly

Every gym eventually gets the same request: a member traveling, injured, or going through something that makes their membership temporarily unusable, asking to pause instead of cancel. How this gets handled shapes whether that member ever comes back.

Decide the policy before the request, not during it

A maximum freeze duration, whether it's available once a year or unlimited, and whether it extends the membership end date — these should be decided as a standing policy, not negotiated fresh with every member who asks.

Extend the end date automatically

A freeze that doesn't extend the membership's actual end date quietly shortchanges the member — they paid for a fixed duration of access, and a freeze should preserve that, not erode it.

Make unfreezing just as easy as freezing

A member shouldn't have to call, email, and wait days to resume a membership they already paused correctly. The moment they're ready to come back, it should take one action to make their account active again.
